Project Coordinator 

Location: San Jose, CA
Job Type: Full-Time
Base Salary: $75,000–$100,000 DOE (Depending on Experience)

About the Role

Our client is seeking a highly organized and detail-oriented Project Coordinator to support commercial construction projects from preconstruction through completion. This position will work closely with Project Managers, Superintendents, subcontractors, vendors, and clients to keep projects organized, on schedule, and properly documented.

The ideal candidate has experience in commercial construction, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Support Project Managers with the day-to-day administration and coordination of commercial construction projects.

  • Maintain project documentation, including contracts, submittals, RFIs, change orders, purchase orders, schedules, and meeting minutes.

  • Assist with subcontractor and vendor coordination, including obtaining bids, tracking commitments, and monitoring deliverables.

  • Prepare, organize, and distribute project correspondence and documentation.

  • Track project schedules, deadlines, inspections, and required approvals.

  • Assist with processing invoices, pay applications, lien releases, and other project-related financial documentation.

  • Coordinate project meetings and maintain accurate action-item logs.

  • Communicate with field teams, subcontractors, suppliers, architects, engineers, and clients as needed.

  • Help identify potential scheduling, procurement, or documentation issues and escalate them to the Project Manager.

  • Maintain organized project files in accordance with company procedures.

  • Assist with closeout activities, including warranties, O&M manuals, punch lists, and final documentation.

  • Perform additional project support duties as needed.

Qualifications

  • 1+ years of experience in commercial construction, construction administration, project coordination, or a related field.

  • Working knowledge of commercial construction processes, terminology, and documentation.

  • Strong organizational and time-management skills with excellent attention to detail.

  • Ability to manage multiple projects, deadlines, and competing priorities.

  • Strong written and verbal communication skills.

  • Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.

  • Experience with construction management/project management software such as Procore, Autodesk Construction Cloud, Bluebeam, or similar platforms is a plus.

  • Ability to read and understand construction plans, specifications, schedules, and project documents is preferred.

  • Bachelor’s degree in Construction Management, Business, Engineering, or a related field is preferred but not required.. You can keep documentation accurate while working with multiple stakeholders and aren't afraid to ask questions or

  • Ability to work effectively with both office and field personnel.
